Lot and Expiration Tracking

Use lot and expiration tracking to keep track of products with lot codes (like food, perishable items, cosmetics), track which customers receive each lot so that you can easily do product recalls, and to track expiration dates to ensure you are not sending out expired products.  

NOTE: Available quantity pushed to the store should be quantity that has not expired. Quantity not pushed to the store should be expired products, product in non-sellable bins, and products that have hit the picking disabled period. 

Lot Tracking must be enabled on your account to have access to these features.


Enable Lot Tracking for a Single Product

  1. Navigate to Inventory > Products.
  2. Select the product you want to set as dropship only.
  3. Click the pencil icon to edit the product details.
  4. You should see the product details window launch. Scroll through the options and check Needs Lot Tracking.
  5. Click Update.

Enable Lot Tracking Using Bulk Edit

  1. Navigate to Inventory > All Products.
  2. Filter the products you want to edit.
  3. Select the items you wish to edit.
  4. Click Bulk Edit.
  5. Once the Bulk Edit window launches, scroll through the options to find Needs Lot Tracking and check Yes.
  6. Click Process, and the selected products will now be set for lot tracking.

When a product is lot tracked, it MUST have an expiration date associated with each lot/batch.


Configuring Lot and Expiration Tracking Settings


  • Set up Lot Tracking settings by going to app.shiphero.com > My Account > Settings > Lot Tracking.


  • Indicate the priority you would like inventory to be assigned to orders with one of the two options:
    • FEFO (First Expired First Out): This option is used to ensure that you are prioritizing inventory with the most recent expiration date to orders (for example, when shipping perishables)
    • FIFO (First In First Out): This option is used to ensure that you are prioritizing inventory based on the age in which it was received (for example, when shipping electronics) 


  • Indicate the number of days that you want to disable picking before product expiration (to prevent expired products from being shipped to customers):


  • Set up automated email reminders to receive a report about lots ready to expire (indicate email address).
